Microphone & Stage Coordination | Every Voice Reaches, Every Moment Heard

A bad microphone kills the strongest speech. A 0.3-second delay activating a mic causes an awkward stage moment, and echo from two overlapping mics ruins the entire event video.

At AOSS Media we coordinate microphones and the stage as one integrated system: choosing the right type per speaker, distributing frequencies to avoid interference, coordinating speaker entries and exits, and ensuring every voice is clear in every corner of the hall.

Our experience covers multi-stage events, conferences with 12 speakers, and live concerts with full bands.

What sets our Microphone & Stage Coordination apart

  • Shure ULXD and Sennheiser Digital 6000 microphones
  • Professional frequency management to avoid interference
  • 20+ wireless microphones in a single event
  • Stage Manager experienced on major stages
  • Talkback system for tech crew communication
  • Backup microphone for every key speaker
Execution Methodology

A cinematic timeline for every detail

/ 01

Microphone Types and Choosing the Right One

Handheld: for Q&A and singing (Shure SM58 famous). Lavalier: for speakers moving on stage. Headset: for dance shows and trainers. Boundary: for meeting tables (180° pickup). Podium: for fixed official speeches. Shotgun: for distant filming. Each type serves a different scenario.

/ 02

Managing Wireless Microphone Frequencies

In a major event we may run 20-30 wireless mics together. Each on a different frequency to avoid interference. We use Shure Wireless Workbench to scan frequencies pre-event, allocate clean channels, and monitor signal strength throughout. We avoid local TV/radio frequencies.

/ 03

Stage Manager — The Captain Backstage

The Stage Manager is the brain behind the curtain: speaker entry order, real-time mic handoff, segment start/end cues, comms with control room, calmly resolving emergencies. An experienced stage manager rescues an event from 90% of potential disasters.

/ 04

Stage & Audio Rehearsal Pre-Event

We conduct full rehearsal at least 4-6 hours before the event: every speaker tries their mic, tests their stage position, learns lighting, hears their cue timing. This rehearsal reveals 80% of potential issues before the real audience.

/ 05

Microphone Coordination for Panel Discussions

A 5-speaker panel needs precise coordination: a mic per speaker (lavalier on belt pack), a handheld for the moderator, an auto-mixing system that activates the active mic and dips the rest, and separate channel recording per speaker in case we need video later.

/ 06

Talkback System — Hidden Crew Communication

All tech crew (stage manager, audio engineer, lighting engineer, broadcast director, production manager) wear intercom headsets (Clear-Com or Riedel) to communicate during the event without audience hearing. This instant coordination turns the event from separate execution into a harmonized orchestra.

/ 07

Microphone Emergency Plan

Every key mic has a ready backup: spare battery, full backup unit, even a handheld carried by the stage manager for instant handoff. If a speaker's mic fails, they get a replacement within 8 seconds maximum.

/ 08

Stage Coordination for Live Music Concerts

For bands: dedicated mics per instrument (bass drum, snare, guitar amp, vocals), personal monitors per musician (in-ear monitors to avoid feedback), separate FOH and monitor mixing desks, and a stage audio manager interfacing directly with the band. Every concert has a documented stage plot prepared in advance.
