What the Site Manager actually does on event day
Arrives before everyone, inspects every corner via detailed checklist, verifies sound/lighting/hospitality/security readiness, receives speakers, manages segment transitions, solves problems unseen by attendees, and delivers a detailed report post-closure.

Pre-event Walkthrough — preventing crises
24 hours prior we run a full tour with all vendors: confirm stage installation, sound and lighting test, hospitality readiness, badge distribution, live streaming test, electricity and backup generator check. Any flaw is caught now — not at showtime.
Run of Show Live Management
Cue Sheet is managed in real time: 5 minutes before each segment we alert the speaker, queue the video/presentation, signal sound team, confirm camera readiness. Delay from schedule does not exceed 3 minutes in 95% of our events.
Real-time crisis management — Plan B for everything
Speaker late? We have a backup segment ready. Sound fault? Backup mic within 30 seconds. Angry VIP guest? Site Manager intervenes personally. Sudden rain at outdoor event? Pre-prepared indoor relocation plan. Every scenario anticipated, every risk has Plan B.
Client communication during the event
We update client every hour via WhatsApp: current attendance, program progress, any notes. We don't bother them with operational details — they receive only major decisions. Our goal: client attends as guest, not problem-solver.
Coordination with external authorities
Field coordination with: Civil Defense (for 1,000+ events), traffic police (for large audiences), venue/building management, electricity companies (for outdoor events), field ambulance. Each authority has one liaison from us to avoid fragmentation.
Post-event — dismantling and Debrief
We supervise stage and booth dismantling, returning venue to original state, equipment return to vendors, Lost & Found collection, and documenting what worked vs didn't in Debrief Report within 48 hours — basis for improving future events.
