Run of Show — the most important document of the event
Run of Show (ROS) is the unified reference document. We produce a timeline including: time to 30-second precision, segment name, owner, Cue (start signal), location, duration, and technical notes. Every team member carries their printed + mobile copy.
Calculating realistic, not assumed, durations
Common mistake: 'Speech is 5 minutes'. Reality: speaker takes 8-12 minutes. We apply Buffered Timing methodology: add 20% to estimated duration as reserve, and calculate transition times (speaker to stage 45s, slide change 10s, applause 30s).
Cue Sheets — coordinating technical signals
We prepare separate Cue Sheets per technical department: AV Cues (when video plays), Lighting Cues (when lighting changes), Audio Cues (when mic opens), Camera Cues (where camera points). Each Cue has a sequence number and visual signal.
Plan B & C contingency plans per segment
For every segment we prepare two backup plans: what if speaker is late? What if presentation fails? What if applause extends? What if audience disrupts? What if power cuts? Each scenario documented with owner and execution steps.
Buffer Zones — the hidden golden minutes
We embed Buffer Zones between segments (3-7 unannounced minutes) absorbing minor delays without breaking the overall schedule. Guest doesn't see them as gaps — they appear as 'Networking Break' or 'Technical Setup' — but they're vital safety valves.
Timecode Sync with live broadcast and screens
For broadcast events we use Timecode Sync (SMPTE) to synchronize the schedule with broadcast cameras, LED screens, live translation system, and control room. Every device shows the same time with Frame-accurate precision (1/30s).
Stage Management — executing the schedule live
Stage Manager holds the master timeline and communicates via Walkie-Talkie with: stage, backstage, technical control, reception, hospitality. Gives '3-2-1-Go' Cues per segment ensuring start precision.
